Need help and clarification on Cohabitation documents

Good morning all, I will be applying for Tier 1 entrepreneur ILR Very early next year. As a result i am trying to put my documents together for better presentation.
My cohabitation documents in joint names, the dates did not align so i need assistance and advice. They are as follows:-
Bank statement joint issued every 3 months dates 16 Nov 2017 - 16 Feb 2018, 16 Feb 2018- 16 May 2018, 16 may 2018 - 16 Aug 2018, 16 Aug 2018 - 16 Nov 2018, in that order beyond 2019.

British gas bills every 3 months from 16 Dec 2017 - 15 Mar 2018 in that order beyond 2019

Water bill issued annual statement from 12 Apr 2017 - 10 Apr 2018, 12 Apr 2018 - 10 Apr 2019 in that order which comprised of a monthly payment by direct debit.

council tax demand from 01 Apr 2017 - 31 Mar 2018, 01 Apr 2018 - 31 Mar 2019, 01 Apr 2019 - 31 Mar 2020.

Mortgage statement issued annually 01 Mar 2017 - 28 Feb 2018, 01 Mar 2018 - 28 Feb 2019 and the next one will be issued in March 2020.

These are the document i have got, but i am confused on how to allign them in order. considerin the fact that i will apply for ILR end of January 2020. can you please help.

Also, my passport will expire on 16 June 2020, and i will put in application at the end of January 2020, will my passport still be considered for the apllication as valid or i will need to renew my passport before i submit my apllication. Please enlighten me on this.
