Best way to submit lots of documents

Post by avellana86 » Mon Jan 13, 2014 6:47 pm

Practical question time…

I'm finalising a complicated EEA4 application. We've amassed a stack of documents about 10cm thick...

I have tab-labelled key documents and included an index. I have also highlighted key information within the documents.

Would it be best to send everything off in some kind of binder or folder, or just all the documents bound together in order, with elastic bands?! I'm worried about key pieces like marriage certificate falling out...

It sounds reasonably well organised. Keep a cover letter with a record of what you enclosed (your index may suffice).

Thanks guys, there are so many documents already, I fear that plastic folders would just increase to the volume even further. Had a scout around online and I think these little clips will be just the ticket.

Why are you submitting so much documentation? Is your application problematic?

Yep, it's complicated because of the various activities she has undertaken. We are erring on the side of caution (hopefully) by submitting more evidence of her different (concurrent) activities than less.

The documents we plan to submit are:

- Completed EEA4 form
- Cover letter
- Statement from EEA national
- Statement from non-EEA national
- Timeline of working activities and residences

Proof of EEA continuously exercising treaty rights in the UK for five years (from January 2009 – present)

1) When she was studying (January 2008-April 2011)
a. Letter confirming her enrolment at London Metropolitan University
b. Statement of loan payments received from the Student Loans Company

2) When she was employed (January 2008-July 2011)
a. Letter from HMRC detailing employment history for the tax years 2007-08, 2008-09, 2009-10, 2010-11, 2011-12.
b. Copies of P45s from Company A, B
c. Contract of employment from the XXXX
d. Fee invoices from XXXXX
e. PAYE coding notice from November 2011

3) When she was seeking work (September 2011 & January-March 2012)
a. Letter from HMRC detailing payments received via Jobseeker’s Allowance (SEE 2A)
b. P45 from JSA
Also: Payments from Jobseekers' highlighted in bank statements in COLOUR

4i) When she was self-employed: Own Company (August 2011 onwards)
a. A copy of our published guide-book
b. Limited company accounts as submitted to Companies House
c. Company bank statements
d. Invoices
e. Letter confirming our funding
f. Certificate of VAT registration
g. De minimis Aid Notification letter
h. Certificate of incorporation
i. Business plan
j. Marketing plan
k. Print-outs of our website, Facebook page, and Amazon listing

4ii) When she was self-employed as a nanny (October 2011- December 2013
a. Completed self-assessment tax returns
b. Letter from HMRC regarding NI payments
c. Record of income received (accounts)
d. Corresponding cash deposits to personal bank account highlighted in [COLOUR]

5) For proof of relationship
a. Certificate of marriage in the UK on 09/02/2008

Proof that have both been continuously resident in the UK November 2008-present

6) For proof of our continuous stay in the UK
a. Tenancy agreements for the 3 addresses we have lived at over the past 5 years
b. Utility bills: council tax, mobile phone (only a couple)
c. For EEA national: Personal bank statements, complete, with payments for self-employed earnings highlighted (no separate business account)
e. For non EEA national: Personal bank statements, intermittent
f. For non-EEA national: supporting documents showing non EEA nationals' working activities over the past 5 years
d. Credit agency report detailing previous addresses and accounts held

Of course, I'd welcome any advice on whether this is going overboard and if there's anything else we should include.

This feels like too much to me. (But at least it is well organized.)

Personally I would send one or two key proofs for each period. More can only cause problems.

There is no need to spend more than £10 on special delivery postage!

of course it's more then they need: you may be lucky but some caseworker don't like lots of unnecessary documents. People send lots of documents and then complain why UKBA taking ages to issue PR

Your EEA family was working, job seeking and self employed at the same time in late 2011/early 2012

unnecessary documents :

g. De minimis Aid Notification letter
h. Certificate of incorporation
i. Business plan
j. Marketing plan

For non EEA national: Personal bank statements, intermittent
For non-EEA national: supporting documents showing non EEA nationals' working activities over the past 5 years
Credit agency report detailing previous addresses and accounts held
. Utility bills: council tax, mobile phone (only a couple)
UK Student Visa : 04/2004 - 09/2009
EEA Residence Card : 07/2010 - 7/2015
EU Settled Status: Confirmed on 16th July 2019
Naturalisation : Confirmed on 02nd Oct 2020
Passport Approval : 21st Feb 2021

Thanks. So would you say there is zero benefit of sending anything relating to non-EEA national apart from

1) Proof of relationship with EEA national
2) Proof of continuous 5 year stay in UK: tenancy agreements and bank statements (1 per year)

I know we don't need to thoroughly demonstrate he has been exercising treaty rights, as irrelevant, but we thought it might help to show what work he's been undertaking?

I would only send information about the non-Eu citizen's ID (passport) and the relationship (marriage cert)

Yes UKBA not interested what you been doing last 5 years unless your EEA family member exercising treaty right as self sufficient with the income from NON EEA national or You are divorced already

so you can be working 12 hours everyday or sitting at home last 5 years
